AI Agents for Dental Clinics

AI receptionists and booking agents for dental practices — answer every call, recover missed ones, and book new patients around the chair schedule.

Where the time goes

What dental clinics lose to the phone and the inbox

The front desk is also the phone line

The person answering the phone is the same person checking patients in, taking payments and handling the treatment plan conversation at the desk. Calls lose that contest.

New patient calls do not call back

An existing patient will try again. Someone ringing three practices about a chipped front tooth books with whoever answers.

The same questions, all day

Do you take this insurance, where do I park, do you see children, how much is a check-up, are you open Saturday.

Empty chairs from short-notice cancellations

A cancellation at 9am for a 2pm slot needs someone to work a waiting list immediately, which rarely happens on a busy day.

What we build

AI agent solutions for dental clinics

A typical engagement uses two or three of these together. Which ones depend on where your enquiries arrive and what your team is already stretched by.

24/7 dental receptionist

Calls are answered day and night in your practice voice, with dental-appropriate triage: routine check-up, hygiene, emergency pain, cosmetic consultation.

Missed-call recovery

Any call that rings out or hits voicemail triggers an immediate WhatsApp or SMS from the agent, so the enquiry is recovered while the patient is still deciding.

New patient qualification and intake

The agent captures whether they are new or returning, the reason for the visit, their insurance or payment route, and how urgently they need to be seen.

Appointment type aware booking

A 20-minute hygiene appointment and a 90-minute implant consultation are booked into different slot types, against the rules your practice sets.

Reminders and reactivation

Appointment reminders reduce no-shows, and dormant patients due for a recall can be contacted on a schedule you approve.

Emergency triage that escalates

Genuine dental emergencies are recognised and routed to a person immediately, with your out-of-hours instructions read out where relevant.

Example workflow

Missed-call recovery for a dental practice

An illustrative scenario showing how the pieces fit together. It is an example, not a client case study — no real engagement or result is being described.

Trigger

A prospective patient calls at 6:40pm, after the practice has closed.

  1. The call reaches the AI receptionist instead of an answerphone.

  2. The agent identifies this as a new patient with sensitivity in an upper molar.

  3. It confirms the practice is closed, and that this does not sound like an emergency requiring urgent care tonight.

  4. It offers the earliest two suitable examination slots against the practice booking rules.

  5. The patient picks a time; the agent captures name, contact number and reason for visit.

  6. A confirmation goes out by SMS, and the structured booking lands with the front desk for the morning.

Outcome

An enquiry that would have reached a voicemail is captured as a booked examination with intake details already collected.

Sample conversation

How the agent handles a typical enquiry

A scripted illustration. It is not connected to a live model, calendar or business system.

Customer

Hi, do you have anything tomorrow afternoon? One of my back teeth has been aching since the weekend.

AI agent

Sorry to hear that — I can help you get seen. Is the pain constant, or only when you eat or drink something hot or cold?

Customer

Mostly when I drink something cold. It settles after a minute.

AI agent

Thank you. That sounds like it needs an examination rather than emergency care, so tomorrow afternoon works well. I have 2:15pm and 4:40pm with Dr. Ahmed. Which suits you better?

Customer

4:40 please.

AI agent

Booked for 4:40pm tomorrow. Can I take your full name and the best mobile number for a confirmation? And have you been to the practice before?

Questions

Dental Clinics: what people ask

Sector-specific questions. General questions about implementation are on the FAQ page.

Can the agent book directly into our practice management software?

It depends on the system. Some practice management platforms expose an API or a calendar sync we can write to; others do not. Where direct booking is not possible, the agent captures a complete, structured booking for the front desk to enter, which still removes the phone call.

How does the agent handle a genuine dental emergency?

Emergency recognition is part of the triage design. You define what counts — facial swelling, trauma, uncontrolled bleeding, severe unmanaged pain — and what should happen for each, whether that is an immediate transfer, an emergency slot, or reading out your out-of-hours arrangement.

Will the agent discuss treatment prices?

Only what you approve. Most practices allow published fee ranges for routine treatment and require anything involving a treatment plan to go to a person. The agent will not estimate a price it has not been given.

Can it answer insurance questions?

It can confirm which plans you accept and explain your general policy, because those are facts you supply. It should not confirm an individual patient’s coverage, which depends on their policy rather than yours.

Is patient information handled safely?

Patient data handling has to match the rules that apply to your practice and jurisdiction. We scope what the agent is allowed to collect, where it is stored and who can access it as part of discovery, before anything is built.
